In this month’s e-Data Analysis Tools Tips and Tricks column, ABC’s Susan Bartucci, assistant manager, marketing and sales, explains how NewsBulletin readers can use the new Media Rebate Analysis Tool to calculate rebate estimates based on Audit Reports and Publisher’s Statements.

Step 1
First, enter your login information in the Reports and Data Access area on ABC’s Web site.

Step 2
Choose the Rebate Analysis button from the list of menu options (you must subscribe to this service to select this option).

Step 3
Next, enter your member number and any additional information you would like to appear in the heading of your final report.

Step 4
Choose the ABC reports you would like your calculations based on, either Audit Reports or Publisher’s Statements.

Step 5
Next, choose the Calculation Type for your report:

Issue-by-Issue
Six-month Average
Twelve-month Average
Brand over Schedule

Step 6
The next step is to choose the titles you would like included in your final report. You can search by individual title in the Title Search option, by publisher in the Publisher Search option, or make your selection from the Select Title box.

The Publisher Search option allows you to choose several publishers at once. After you have selected the publisher or publishers, the Select Title box will populate with the titles of that publisher. You can select all of the titles or pick and choose by holding down the control key.

Step 7
Next, select the year or years of the data you want to populate your report.

Step 8
This next screen displays the name of the publications you selected in Step 6 along with the report date, issue date and its total paid and verified circulation and rate base, analyzed non-paid circulation and rate base, and total paid, verified and analyzed non-paid circulation and rate base.

At this point, you can select all the issues or you can pick and choose specific issues for your report.

Step 9
The next screen displays the titles and issues you selected in Step 8. If a publication reports a rate base to ABC, it will automatically populate in one of the following headings: Total Paid & Verified Rate Base, Analyzed Non-Paid Rate Base, Total Paid, Verified & Analyzed Non-Paid Rate Base. The rate base reported to ABC will also be the default selection.

If a publication issues a different rate base guarantee different than the one reported to ABC or did not provide a rate base guarantee to ABC but did provide one to you, you may enter it in the Advertiser Rate Base Guarantee field.

At this screen you will also enter the total cost of the ad for each title and issue in the Ad Placement Cost field. When you have filled in all the fields, select Create Report.

Step 10
The next screen is your final report.

The report also contains the publication name, report date, issue date, rate base, type of rate base (total paid and verified, analyzed non-paid or total paid, verified and analyzed non-paid), the cost of the ad, the circulation of the title for the specific issue, the number of copies above or below the rate base, the percent above or below the rate base, and the amount of the credit the advertiser is due.

From this screen you can also download the report to Excel and save a copy, e-mail a copy to yourself or a colleague, and save the list of publications for future use.
